Online booking

Online booking for your practice, without the phone calls

Share one booking link and patients book themselves in, day or night. Bookings arrive in your schedule for you to confirm, and patients get a reminder on the morning of their visit.

  • Bookings 24/7
  • WhatsApp reminders
  • No patient details on show
How it works

From the booking link to the waiting room

Your reception team stays in control of the diary. Patients do the typing.

Set your online slots

Choose recurring times for each provider and weekday, in person or virtual. Only those slots are offered online.

Share your link

Copy your practice’s booking link from Cliniweb and put it on WhatsApp, your website, Google and social media.

Patients book

They pick a slot and enter their details on their phone. Nothing from their record is shown, and each patient can have one pending online request at a time.

You confirm

Online bookings show in your schedule, marked as online, for your team to confirm.

Symptom check

After booking, the patient can tell you why they’re coming in, so you know before you open the record.

Reminder on the day

Confirmed patients get a reminder on WhatsApp, SMS or email early that morning.

Privacy by design

A booking page that keeps records private

Built around POPIA. A booking link is public, so it never shows anyone’s personal details.

  • Nothing from the record is displayed during booking. Contact details are masked.
  • Details don’t match? The patient is asked to call the practice rather than being shown what’s on file.
  • Protected from spam with a bot check and rate limits.
  • Private links for check-in and consent expire, and every booking is logged in the audit trail.
Before the visit

Paperwork done at home

The same patient portal handles more than bookings. Patients get links from your practice, on their phone.

  • Symptom check: the reason for the visit is in the record before the consult. Urgent symptoms prompt the patient to call the practice or emergency services.
  • Consent forms signed on the patient’s phone. You counter-sign in Cliniweb, and a PDF with both signatures, names, timestamps and IP addresses is filed to the record.
  • Questionnaires at home, such as PHQ-9 or IPSS, scored straight into the record.
  • Virtual visits can be booked in slots you set aside for them. The patient acknowledges that the visit will be billed.

Put your link where patients look

Most patients search for their GP on Google or ask on WhatsApp. Your booking link should be there.

  • Google Business Profile: add the link as your “Appointments” URL so patients can book straight from Google Search and Maps.
  • WhatsApp Business: add it to your profile and your automatic greeting message.
  • Your website: a “Book online” button on every page.
  • Facebook and Instagram: use it as the link on your page’s “Book now” button or in your bio.

Questions

Online booking: common questions

Do patients need an app or an account?

No. Patients open your practice’s booking link in their phone’s browser. There is nothing to download, no account to create and no password to remember.

Do online bookings go straight into my diary?

They appear in your schedule as online bookings for your team to confirm. Reminders only go to bookings you’ve confirmed.

Can I choose when patients can book online?

Yes. You set recurring online slots for each provider and weekday, and choose whether a slot is in person or a virtual visit. The rest of your diary stays for reception to book.

Can a patient see their medical record when they book?

No. The booking page never shows anything from the patient’s record. If the details a patient enters don’t match, they’re asked to call the practice.

Do patients enter their medical-aid details online?

No. Your practice checks medical aid as usual, at reception or with a benefit check in cliniweb.

How are appointment reminders sent?

Early on the morning of the appointment, Cliniweb queues a reminder for each confirmed booking that day, sent on WhatsApp, SMS or email. Your team can also queue a reminder for a single booking from the schedule. Messages are charged per use.
