How it’s set up

No WhatsApp Business setup for you

Practices use the Cliniweb WhatsApp number, so there’s no Meta account, verification or API to manage.

  • Signed messages: patients see your name and practice on every message.
  • One practice per patient number: replies go to the practice that messaged the patient most recently.
  • Prefer your own phone? Open on device gives you a link and QR code to send from it.
  • On or off: an administrator can switch WhatsApp off for the practice at any time.

WhatsApp’s 24-hour rule: outside 24 hours since the patient’s last message, a short template is sent first to reopen the chat. Template messages are charged at a set rate per message.

Questions

WhatsApp for practices: common questions

Do I need my own WhatsApp Business account?

No. Cliniweb practices message patients from the Cliniweb WhatsApp number, which we set up and manage. Every message is signed with the sender’s name and your practice name, so patients know who they’re talking to.

Can I send from the practice’s own phone instead?

Yes. When you message a patient from their file, choose Open on device to get a link and QR code, and send it from your own phone. The send is still noted on the patient’s file.

What if a patient also sees another Cliniweb practice?

A patient’s number is linked to one practice at a time: the practice that messaged them most recently. Their replies go to that practice, and Cliniweb shows a note when a number moves. Only message patients you’re actively caring for.

What does WhatsApp cost?

WhatsApp only allows a normal message within 24 hours of the patient’s last message. Outside that window, Cliniweb first sends a short approved template asking the patient to reply, and that template is charged at a set rate from your account. Ask us for the current rate, and see pricing.

Can we switch WhatsApp off?

Yes. A practice administrator can switch WhatsApp on or off for the practice in Settings. When it’s off, the WhatsApp buttons explain why instead of sending.

Is using WhatsApp with patients allowed under POPIA?

POPIA applies to how your practice uses any channel, and your practice remains responsible for patient information. Cliniweb helps by keeping every message in the conversation with its time and delivery status, signing each message, logging sends to the patient’s file and linking a number to one practice at a time.
