Dispensing and stock

Dispensing and stock control for dispensing practices

Medicine you prescribe for the practice to hand out goes straight to a dispensing queue. Stock is tracked by batch, so you always know what you have, what’s expiring and who received what.

Day to day

From script to stock cupboard

Dispensing list

Today’s queue of medicine to hand to patients.

  • Refreshes on its own every 30 seconds
  • Splits across batches when one isn’t enough
  • Allergy warnings, whether or not the item is in stock
  • Switch to a similar medicine, print a label or cancel with a reason

Stock control

Receive, adjust and count stock in batches.

  • Home screen leads with out-of-stock, expired and expiring items
  • Quantity helper: containers × units does the maths
  • Order list straight from a no-stock warning
  • Every item’s history exportable to CSV or PDF

Dispensing log

Every medicine sent to the dispensary for a day.

  • Dispensed, waiting and cancelled items all kept
  • Batch and staff member for every item handed out
  • Schedule 5 and higher shown in red, with their own filter
  • Cancellation reasons recorded
Stocktakes

Blind counts that anyone can do

Counting stock shouldn’t need full access to stock control.

  • Blind stocktake: the counter doesn’t see the expected quantity.
  • Hand it to anyone signed in, such as a receptionist, without giving them stock permissions.
  • Picks the right items: the ones that have gone longest without a count, or have never been counted.
  • Adjustments flagged: a manually adjusted batch shows as unchecked until it is counted again.
Traceability

A batch recall you can actually trace

Because every hand-over records the batch and the staff member, you can find the patients who received a recalled batch.

  • Batch on every dispense, with who dispensed it and when.
  • Scheduled medicines easy to review on their own.
  • Substitutions noted on the visit record, with who made them.
Courier deliveries

Packages for patients, logged and collected

For medicine that arrives at the practice by courier for patients to collect.

  • Scan the barcode, and Cliniweb won’t log the same package twice.
  • Notify the patient once that their package is ready.
  • Dashboard of packages waiting, arrived today and waiting more than 14 days.
  • Courier portal link-up, where set up, to match packages to patients and check them out.

Questions

Dispensing: common questions

Does Cliniweb track stock by batch?

Yes. Stock is received and dispensed by batch, and the dispensing log shows which batch each item came from and who handed it out.

Can I see what’s expired or about to expire?

Yes. The stock home screen opens with counts of items that are out of stock, expired or expiring soon. Click any count to see those items.

Can a receptionist do a stock count?

Yes. A blind stocktake only needs a signed-in account, so you can ask someone to count without giving them access to the rest of stock control.

Does dispensing go onto the medical-aid claim?

Yes. Dispensed medicine shows on the billing screen with the medicine cost and dispensing fee separately, ready to invoice and claim.
